  • Food Festival Equipment Hire Three Days 400plus Covers A Session In West Sussex

27 September 2026

Food Festival Equipment Hire: Three Days, 400+ Covers a Session in West Sussex

400+ Covers Per Session — Outdoor Festival Site, West Sussex — [June 2026]

•       Event Type: Outdoor Food & Drink Festival

•       Covers: 400+ per session, 3 days

•       Setting: Festival Site, West Sussex

•       Hire Partner: Allens Hire

At a food festival, the crockery and glassware don’t just appear on a table and get collected at the end of the evening. They’re washed and turned around, sometimes multiple times per day. They get used by catering teams who aren’t specialist hospitality staff. They go outside in all weather. The hire specification needs to reflect that reality — robust enough to survive three days of intensive use, plentiful enough to keep service running without chasing wash-up, and still smart enough to hold their own in the hospitality marquee where guests are paying for a premium experience.

The Food Court & Producer Kitchens

Crockery & Serviceware

For the food court, we supplied robust white china throughout — pasta bowls and flat plates in 25cm and 28cm, suitable for the range of street food formats on offer. White china is the right choice for a food festival environment: it shows the food well, photographs cleanly for social media, and holds up to the wash-up conditions of a festival kitchen better than decorative or patterned ranges. We supplied at a ratio of three pieces per cover to ensure enough volume in circulation to run continuous service without a wash-up bottleneck mid-session.

Supporting the china: White Melamine Gastronorm Trays for the producer kitchens behind each stand, large oval and round serving platters for the cookery demonstration stage, and stainless steel serving tongs, spoons, and ladles for each kitchen.

Kitchen Equipment

Six of the producers were cooking to order on site rather than serving pre-prepared food, and each of their kitchens was supplied with a kitchen equipment pack: a Stainless Steel Prep Table (6ft), a Kitchen Stainless Steel Folding Table as a service surface, and Gastronorm Trays in 1/1 and 1/2 sizes for ingredient prep and hot holding. Three of the producers used Chafing Dishes to keep hot dishes at temperature during slower trading periods.

For the cookery demonstration stage — a focal point of the festival where visiting chefs ran 40-minute sessions across all three days — we supplied a full demonstration kitchen setup: two Stainless Steel Prep Tables end-to-end as the worktop, a Kitchen Stainless Steel Folding Table for equipment staging, and Gastronorm Trays in graduated sizes for the mise en place. A clean, professional setup behind the chef reads directly to an audience watching from a distance.

BBQ Hire

Two producers were running live-fire BBQ stands as their primary cooking method. We supplied a Gas Barbecue (6′×2′) to each, along with a Griddle Plate for each unit to handle fish, vegetables, and anything that doesn’t grill cleanly on open bars. Both producers also ran a Charcoal BBQ (6′×2′) for the low-and-slow items that need the smoke rather than the gas.

For outdoor BBQ service at festival volumes, fuel management matters as much as the unit itself. We advised both producers to plan their charcoal quantities based on the full three-day service window rather than a single day — it’s the item most likely to run short on day two of a festival when the nearest supplier is 20 minutes away.

The Outdoor Seating Area

The main festival seating area accommodated 200 seated guests at any one time. We supplied Rustic Trestle Tables (6′×3′) with Bench Seats as the primary furniture format — robust, practical, and in keeping with the relaxed outdoor atmosphere of the event. Trestle-and-bench is the right choice for a food festival: it seats six to eight per table without consuming the floor space that chairs require, and it’s weather-appropriate in a way that upholstered banqueting chairs are not.

Parasols and weighted bases were placed at every other table — both for guest comfort in sunny weather and as practical cover for the food and drinks on the tables. At a three-day outdoor event, sun protection for the food is as important as sun protection for the guests.

The Premium Hospitality Marquee

Within the wider festival site, a dedicated hospitality marquee offered a ticketed premium experience: a four-course tasting menu lunch on each of the three days, paired with wines from the festival’s sponsors, for 60 covers per sitting. This was a separate environment from the food court — a different register entirely, and one that required fine china, premium glassware, and properly laid tables.

Fine China

For the hospitality lunch, we specified Villeroy & Boch Stella Coupe throughout — a premium porcelain range that creates a sharp contrast to the casual eating experience in the food court. Guests in the hospitality marquee have paid a premium for a different experience, and the quality of the fine china communicates that the moment the table setting comes into view. Full place setting: 29cm flat plate, 25cm starter plate, deep coupe plate, and side plate.

Glassware

Riedel Restaurant throughout the hospitality lunch:

•       Riedel Restaurant Champagne Glasses for the welcome drink on arrival

•       Riedel Restaurant Riesling/Sauvignon Blanc for the white wine pairings

•       Riedel Restaurant Pinot Noir/Nebbiolo for the red wine pairings — chosen for the Pinot-heavy wine list on the tasting menu

•       Riedel Restaurant Water Glasses at each cover

The contrast between Riedel glassware in the hospitality marquee and standard wine glasses at the food court is exactly the kind of distinction that justifies a premium ticket price without requiring the event organisers to build a completely separate bar operation.

Linen & Furniture

Round tables (60 covers across six tables of ten) dressed in Ivory 132″ Round Cloths from the Expressions linen range, with Ivory Napkins at each cover. Mahogany Banqueting Chairs with ivory seat pads — a warmer finish than black in a marquee that needed to feel elegant without feeling corporate.

The Cocktail Bar

The festival’s evening programme ran around a central cocktail bar — open each evening from 5pm to 10pm. We provided a Bar Unit as the main service counter, with a full complement of bar equipment: Nachtmann Noblesse Ice Buckets (four at the bar, two on the poseur tables alongside), Cocktail Glasses and Highball Glasses for the cocktail menu, Rocks Glasses for spirits served over ice, and large glass jugs for the soft drink and mocktail service.

Eight Poseur Tables were arranged in the bar area for standing guests — the right furniture format for an evening cocktail bar at a festival, where the crowd shifts and flows rather than sitting for an extended period.

Logistics Across Three Days

A multi-day festival presents hire logistics that a single-day event does not. Equipment needs to be on site for the full duration, which means it needs to survive three days of field conditions: morning dew, afternoon sun, the occasional knocked-over table, and the general handling conditions of a busy outdoor event.

We delivered to site the afternoon before day one. Collection took place on the morning of day four. On the morning of day two we checked in with the event manager to confirm nothing was short, broken or in need of a top-up delivery. At a three-day site, a shortfall discovered on day one that isn’t addressed promptly becomes a three-day problem.

Top Tips for Food Festival Equipment

•       Specify crockery in multiples of your peak cover count, not your average. A food festival service is lumpy — it peaks at lunch, drops between sessions, peaks again in the afternoon. Your wash-up capacity at the peak is what sets your crockery quantity requirement, not your average throughput.

•       Separate your hospitality equipment from your food court equipment clearly. Fine china and standard event crockery both look similar in a crate. Label everything by zone before delivery, and brief your caterers on what goes where.

•       Trestle and bench for the food court; round tables and chairs for the hospitality area. The furniture format communicates the register of the experience before the guest has even sat down.

•       Plan your cocktail bar glassware independently. Festival bar service runs at different times and in a different space to the food court. Two separate glassware specifications, two separate quantities.

•       Book for the full duration, including setup and strike days. A three-day hire that only starts on the first trading day leaves no time to set up. Confirm your hire window covers site setup and the morning-after collection.
