  • Marquee Wedding Equipment Hire For 220 Guests In Surrey

9 October 2026

Marquee Wedding Equipment Hire for 220 Guests in Surrey

220 Guests — Private Estate, Surrey — August 2025

•       Event Type: Wedding Reception — Marquee

•       Guest Count: 220 (+80 evening)

•       Setting: Private Estate, Surrey

•       Hire Partner: Allens Hire

For this Surrey estate wedding, the couple were hosting 220 guests across a three-marquee setup: a main dining and dance marquee, a separate cocktail tent for the drinks reception, and a catering production area sheltered from the guest-facing spaces. The brief covered the full spectrum — fine dining table settings for the wedding breakfast, a full bar operation for the evening, and all the kitchen and service equipment the catering team needed to operate at that scale without access to a built-in kitchen.

This is the kind of event where the hire list runs to hundreds of line items. Getting every one of them right is the job.

The Drinks Reception

The cocktail marquee hosted 220 guests for a 75-minute champagne and canapé reception before the main doors opened for the wedding breakfast. This is the moment when everyone arrives, the photographs happen, and the tone for the entire evening is set. The equipment in this space had to look as good as it performed.

We provided twelve Round Glass Poseur Tables with chrome bases across the cocktail tent — enough to ensure every group of guests had somewhere to land without the space feeling overcrowded. Riedel Restaurant Champagne Glasses were pre-poured on trays for the arrival service, with additional glasses ready at the bar station for late arrivals and refills.

A dedicated bar unit in the cocktail tent handled champagne service, soft drinks, and the canapé accompanying wines. Nachtmann Noblesse Ice Buckets — eight of them across the bar and poseur tables — kept everything at temperature throughout the reception.

The Dining Marquee: Tables & Chairs

Seating 220 guests for a formal wedding breakfast is a significant spatial exercise. The couple opted for 6ft Round Tables for the 204 guests not on the top table — twenty-one tables, most at ten with a few set at nine to keep family groups together — arranged across the main marquee with a central dance floor and a top table running across the stage end of the marquee.

The top table seated the wedding party of sixteen on one side only — the traditional arrangement facing the room. We used a run of 6ft Trestle Tables placed end-to-end and dressed with a continuous floor-length cloth, creating a single table that read as one cohesive centrepiece without visible joins.

Chairs

For the main dining area, the couple chose Gold Banqueting Chairs with ivory seat pads — a warmer, more celebratory finish suited to the ivory and gold colour scheme. A gold banqueting chair at a wedding reception is the chair that reads as “occasion” from across a marquee, and under warm marquee lighting, the effect is considerable.

The top table used Limewash Louis Chairs with ivory seat pads — a more ornate style reserved for the wedding party, distinguishing their seating visually without requiring a separate room.

For the evening guest arrivals — an additional 80 guests joining after the dinner — we had White Folding Chairs staged at the rear of the marquee ready to be brought forward for the evening entertainment.

China

At 220 covers, crockery quantities become substantial. We supplied the Villeroy & Boch Stella Coupe range throughout the wedding breakfast — a coupe-profile range with the weight and finish of professional hospitality china, robust enough for a commercial-scale catering operation while remaining genuinely elegant on a dressed wedding table.

The full dining service covered: flat plate (29cm), side plate (16cm), deep plate for the soup, and dessert plate, with White China Coffee Cups and Saucers and White China Coffee Pots for the post-breakfast service. That’s over 1,300 pieces of crockery before the serving pieces are counted.

For the evening buffet, we added large oval serving platters, Gastronorm Melamine Trays in white for the catering team’s back-of-house setup, and Rectangular Porcelain Serving Platters for the grazing stations.

Cutlery

We supplied the Robert Welch Iona range throughout — a pattern that balances contemporary elegance with practical durability at high-volume events. At 220 covers with a full formal place setting, that ran to over 1,600 individual pieces of cutlery. Everything was delivered pre-sorted by piece type in crates, allowing the catering team to lay up tables without counting out individual pieces from mixed containers.

Stainless steel serving spoons, tongs and ladles were supplied for the catering team’s service stations throughout the evening.

Glassware

A marquee wedding at this scale needs a detailed glassware plan before anything else. We supplied across three distinct service phases:

Reception (cocktail tent)

•       Riedel Restaurant Champagne Glasses (350 — 1.5 per guest plus reserve)

•       Highball Glasses for soft drinks and mocktails

Wedding Breakfast (dining tables)

•       Riedel Restaurant Cabernet/Merlot (330 for red wine)

•       Riedel Restaurant Riesling/Sauvignon Blanc (330 for white wine)

•       Riedel Restaurant Water Glasses (250 — one per cover with reserve)

•       Large glass jugs (46 — two per round table and four for the top table)

Evening bar

•       Additional Riedel Restaurant Champagne Glasses for the toast and evening service

•       Highball and Rocks Glasses for spirits and long drinks

•       Shot glasses and cocktail glasses for the evening bar programme

Total glassware supplied: just over 1,800 pieces. At a marquee wedding, a commercial glass wash facility — either a hired mobile unit or the caterer’s own — is essential. Wash-up turnaround during the reception→dinner→evening transition is where glassware quantities are stress-tested most.

Linen

White was the base for all table dressings. We supplied White 132″ Round Cloths from the Expressions range to floor-length on all twenty-one round tables, plus cloths for the bar units and buffet stations. The top table received White 144 x 70 Cloths from the Expressions range, overlapped along its run of trestle tables.

The couple’s florist added table runners in blush and gold, so the linen was kept deliberately neutral — white rather than ivory — to allow the floral arrangements to read clearly. White Napkins at every cover, folded by the catering team.

For the cocktail tent poseur tables, White Stretch Poseur Covers gave a dressed, tailored look that worked in the less formally laid reception space.

The Bar

The evening bar was the centrepiece of the post-dinner reception — a full-service unit running from 7pm until midnight. We provided two Bar Units side by side to handle 300 guests (the 220 dinner guests plus 80 evening arrivals) without queuing, Nachtmann Noblesse Ice Buckets at the bar and on the evening tables, full bar glassware as above, large glass jugs for the fruit water and lemonade stations, and cocktail glasses for the signature cocktail service during the first hour of the evening.

Two bar units running in parallel is a decision that the client’s event manager initially questioned on cost grounds. Experience tells us that a single bar at a 300-person evening reception creates a bottleneck during the first 45 minutes that can take the whole evening to recover from.

The Kitchen Setup

Running a wedding breakfast for 220 guests from a catering production marquee rather than a fixed kitchen requires the catering team to bring everything. We supplied the back-of-house equipment:

•       Stainless Steel Prep Tables (6ft) — eight in total, creating a continuous prep run

•       Kitchen Stainless Steel Folding Tables for the plating station

•       White Melamine Gastronorm Trays (various sizes) for the hot service

•       Chafing Dishes to hold the hot courses during the plating sequence

•       Hand Wash Stations at both entrances to the production area

For a catering team working from a tent rather than a kitchen, the prep surface area is often the constraint that determines service quality. We sized the kitchen setup based on the caterer’s service plan, not a standard formula.

Top Tips for a Marquee Wedding at This Scale

•       Treat the marquee like a blank building site. Power, water, a glass wash facility, refrigeration, and catering prep space all need to be planned — either sourced separately or confirmed as part of your marquee contractor’s scope. Don’t assume anything is included.

•       Plan your glassware service in phases. Reception → dinner → evening are three different service types with different glass requirements. Map each phase separately before you add up your totals, or you’ll under-order on at least one.

•       Stage the evening guests’ seating in advance. Eighty evening arrivals need somewhere to sit. Folding chairs stacked at the back of the marquee let the room absorb them without a full reset mid-party.

•       Confirm your wash-up plan. A mobile glass wash unit or the caterer’s own machine should be confirmed before you finalise your glassware order. Your hire quantities depend on how many turnaround cycles you can run.

•       Get the kitchen size right. Speak to your caterer about their service plan and build your kitchen equipment list around that, not around a default package.

•       Book well in advance. Marquee weddings in Surrey and Hampshire in peak season stretch hire availability across the whole region simultaneously. For 220-guest quantities, book as early as possible.
